One landlord, one property, half a dozen different clocks running at once. Gas safety renews every 12 months, the EICR every 5 years, the EPC every 10, the deposit has a 30-day window that starts the moment it lands, and a new tenancy adds a same-day alarm check and a written statement of terms on top. Miss any one of them and the paperwork problem usually surfaces at the worst time — a Section 8 hearing, an insurance claim, or a council licensing inspection. This tool takes the dates you already have and turns them into a single calendar, sorted by what's next, with a file you can drop straight into Google, Outlook or Apple Calendar.
How each date is worked out
- Gas safety check — every 12 months. Regulation 36 of the Gas Safety (Installation and Use) Regulations 1998 sets the interval; regulation 36A adds a landlord-friendly rule most calculators miss — renew up to 2 months early and the check is still treated as made on the original due date, so next year's deadline doesn't creep earlier.
- EICR — every 5 years. The Electrical Safety Standards in the Private Rented Sector (England) Regulations 2020 fix this for England; we show the same interval for Scotland and Wales as the practical figure most landlords work to, but flag it as not a verified England-specific citation outside England.
- EPC — valid 10 years from the date it was issued, wherever the property is.
- Smoke and carbon monoxide alarms are checked on the day a new tenancy begins, not on a rolling cycle — England's 2015 Regulations (amended 2022) require a smoke alarm on every storey and a CO alarm in any room with a fixed combustion appliance other than a gas cooker.
- Deposit protection runs on two different clocks depending on nation: 30 calendar days from the date the deposit was received in England and Wales (Housing Act 2004 s.213), but 30 working days from the start of the tenancy in Scotland — a different trigger date, not just a different unit.
- Written statement of terms (England only) has to be given before the tenancy is agreed, so the calculator shows it against the tenancy start date as the latest sane deadline, not a literal one.
- Rent review window (England only): one increase every 12 months with at least 2 months' notice on Form 4A — so the earliest a landlord can next serve notice is 10 months after the last increase, or after the tenancy started if there hasn't been one yet. This row is a reminder, not a compliance deadline — nothing forces a landlord to increase the rent at all.
What's different in Scotland and Wales
Gas safety (Great Britain-wide) and the 10-year EPC apply the same way in all three nations, and the deposit-protection deadline above is already nation-specific. The written statement of terms and the Form 4A rent-review window are England-only mechanisms under the Renters' Rights Act 2025, so they don't appear on the calendar outside England — Scotland's private residential tenancy and Wales's occupation contracts use separate processes this tool doesn't model. For the EICR and the alarm rules, England has a specific numbered regulation; Scotland and Wales have their own separate electrical-safety and alarm requirements that we haven't verified in enough detail to cite here, so those rows are marked as the shared practical interval rather than a nation-specific legal citation.

The 5-year interval is a specific legal duty in England, under the Electrical Safety Standards in the Private Rented Sector (England) Regulations 2020. It's the interval most landlords in Scotland and Wales work to as well, but we haven't verified a nation-specific regulation setting that exact figure outside England.
On the day a new tenancy begins, not on an annual cycle — England's 2015 Regulations (amended in 2022) require a working smoke alarm on every storey and a carbon monoxide alarm in any room with a fixed combustion appliance other than a gas cooker, checked before the tenant moves in.
